Solution presentation
Vep.si is an online service that offers a secure e-mail inbox for sending and delivering e-mail. The solution supports service in administrative proceedings (ZUP), service in court proceedings (ZPP and ZKP), sending and receiving mail by secure electronic means in accordance with the eIDAS regulation.
The company hired me as a UX/UI designer and consultant because the existing version of their web application was already outdated and needed a complete overhaul. New features needed to be developed fully and backed up with a good user experience and a unified user interface. I improved and simplified the user flows, which made the application easier to use.
Process of implementation
Understanding needs and objectives
At the beginning of the project, we defined the key objectives together with the team, with the main focus on providing a secure and user-friendly environment for sending emails through the portal. I worked with key stakeholders to understand the exact technical requirements and user needs, including important security and legal aspects and new features.
User research and competition analysis
To better understand users' expectations, we conducted an in-depth survey of users' needs and expectations for email security, where their support team joined in. I analysed competing secure email solutions, which helped me to identify key functionality and highlight opportunities for improvement.
Creating user personas and design flows
Based on our research, we created typical personas representing different types of users, such as lawyers, entrepreneurs and government officials, who need a secure way to communicate. These fictitious personas helped us to design optimal user flows to ensure that the portal was easy to use while maintaining a high level of security.
Wireframing and prototyping
I prepared and led the design of the basic wireframes, where we defined the structure and navigation of the portal. The aim was to create a user experience that is secure, intuitive and tailored to the user's requirements. The prototypes made it possible to make adjustments based on feedback.
User Interface design (UI)
After validating the user flows, I focused on the visual design, where I chose a safe, secure and professional look for the portal. The core was the design system, where I created a user interface that was visually coherent and easy to use, using an appropriate colour scheme, readable typography and new icons.
Collaboration with the development team and implementation
As head of the design process, I worked closely with the development team, which was outsourced during the design process. Due to their technical difficulties, I provided assistance to the front-end staff with experienced personnel to ensure a successful and quality implementation of the solutions. In doing so, I ensured that all UX/UI guidelines and functionalities were followed and implemented correctly.
Testing and iterations
After implementation, usability and UI testing was carried out to ensure that the portal meets user expectations.
